[Futuregen] First draft for a tentative agenda and tough choices (URGENT)

Dear all,

Overall, I think the tentative agenda looks good. Given the options, I think that the suggested option (where the Canadian team joins the meeting after lunch) is probably the one that would work the best. Otherwise, I'm certainly open to both an afternoon-centered or a split meeting.

I realize that the schedule is quite packed as it is, but I was wondering if it wouldn't be worthwhile to cut a few minutes from some sessions to include one or two more short breaks in order to stave off the worst symptoms of telemeeting-fatigue.

Please find attached below a very first and tentative structure for the agenda for the SB meeting.
I tried to build on my experience of telemeetings in the past weeks and allowed for some breaks (particularly at lunch time) and also moved around the WPs presentations to ensure the input from the Andreas (CAN) on WPs 1 & 3, where his input will be more relevant.

We have one constraint: time difference to CAN, as most SB members are based in Europe.
I think there are four reasonable ways to deal with this:
i) Susan/Afshin/Janet wake up at 4h30 am CAN time to be present from the start - I don't think this is really an option. :)
ii) We start at 13h00 and go on till 18h00 - I don't think we can expect most SB members to be present after 18h00 and this gives us very little time overall.
iii) We have some sessions in which Susan/Afshin/Janet may not attend in the morning (see below).
iv) We break the SB into two afternoons, but I doubt we will have SB members being able to attend both. Still, this could be an option and we could send out a doodle asap.
Please let me know your thoughts on this ASAP.

I gave ourselves not much time for presentations as SB members would be receiving some of the material (including PPTs) in advance.

10h30-11h00: Opening the SB meeting and overall progress of the project thus far.
11h00-11h45: Data Navigator: presentation (10 mins) of website and feedback, discussion on it.
11h45-12h35: WP2 presentation (15 mins) and discussion.
Lunch break
13h50-14h35: Qual study discussion (presentation?)
14h35-15h25: WP1 presentation (15 mins) and discussion
15h25-15h35: Break
15h35-16h25: WP3 (15 mins) presentation
16h25-17h30: Miscellaneous [for now I put this as a place holder, but I think we need some "openE time at the end]: dissemination, including COVID, next steps and staying engaged.

Please feel free to provide feedback already ahead of the meeting, so that we can use our time next week efficiently.
