Hi Ricardo,

Thanks so much for the message and update!

I would suggest that at the meeting in May, the involvement of the SB could be discussed and determined. I worry about making the assumption that they are working as a collective - perhaps some of them might want more or less involvment. At the last meeting, when we met them (spring, 2019) we had looked at terms of reference together et cetera (ways of working together). Perhaps the terms of reference document has not progressed since then, and the May meeting is our chance to revisit how we might work together on the qualitative study. To engage a group like the SB means that they need to be in agreement with the process and we might need to figure out what that process is, together.

What I would propose is that a short update on the qualitative study be shared, in advance of the meeting (see draft, below).

Perhaps we can have a call with them prior to the meeting? That might be an opportunity to see what their interest is in the study. Then, at the May meeting there can be concrete steps taken to make some decisons, and get their feedback.

Note: I use terms of reference documents to help groups like the SB to know what the expectations are - and if we coproduce these expectations and agree (versus my telling them) then there is terrific buy in and support. I am resending the terms of reference slide from last spring and that was discussed with the SB. I think that we could use this slide or a version of it, at the meeting, in advance of talking about the study.

An important feature of the qualitative study is that we have some results that we want to focus on and obtain feedback on from older adults. So those results will need to be ready for May!

As well, it seems that I might be able to attend the meeting in May!
Susan thinks that the budget is going to allow this, so that may make the launch of this qualitative study easier.
I really liked the SB members and would be happy to spend time with them again, in person, to get our study launched.

Best wishes,
Janet

Ricardo, please feel free to make modifications to the draft ,below, to better reflect the team thoughts on the study.
The Terms of Reference slide is following in another email.

Outline for a proposed qualitative study - for discussion

Background: The experiences and perspectives of knowledge users may be used to provide many insights about the findings from methods studies of population data sets. A qualitative study is proposed to engage members of an older (age range) population as key informants in interviews to reflect on and verify data from the methods study, and the findings that are related to health and aging (details will be needed from each WP). Additionally, the qualitative study will contribute insights to complement the data from the quantitative studies that can be used to generate new ideas.

Methods: A qualitative study that uses the framework analysis method will be conducted in collaboration with an international study team and a sounding board team. In-depth semi-structured interviews will be conducted with a purposive sample of key informants who span gender(s), a range of older ages, socioeconomic status, education (detail). Transcripts will be coded and analyzed using the seven-stage framework analysis method. Data from the qualitative study will be reported and will reflect the key informant findings. The findings from the key informant study will be used to verify the results from methods studies examining aspects of health, aging and gender.

Conclusions: Key informant interviews will be used to verify and to possibly identify new concepts that were not generated in the methods studies, and to develop policy briefs(?). We encourage the use of key informant interviews as a complement to methods studies of data-sets to obtain and include the real-life expertise of knowledge users on findings.

Subject: [Futuregen] Qualitative study and involvement of the Sounding Board for newsletter

Dear Janet,

We have posted the minutes of our last zoom on Freedcamp.

We had agreed that you would propose a specific way of involving the SB
in implementing the qualitative study. I was wondering if you could send
around a proposal for this in the next couple of days (e.g. till
Thursday), please?

As we are preparing the newsletter for the SB, I was also thinking this
would be a good time and way to inform the SB that we would expect their
involvement in the process leading to the qualitative study and give
some (minor) information about what this involvement might look like. We
would not need to give too many details at this stage. What do you think
of this?

For us all, it would also be good to provide some information about the
scope/focus of the qualitative study in our WP4 news for the newsletter.

Looking forward to your replies and suggestions.

Best wishes,

Ricardo
